Why printing the Wix Bookings calendar fails by default

Wix Bookings is a great calendar for the screen. It surfaces colour-coded blocks, drag-to-reschedule, and a smooth UI. But it was designed to be used on screen, not printed on A4 paper. When you press Cmd+P in your browser, the printer driver receives the same HTML the screen does — and the layout doesn't translate. Three concrete failure modes:

  • Sidebar and navigation eat the page. The Wix dashboard chrome is rendered into the print, leaving you with maybe 60% of an A4 sheet for actual schedule data.
  • Client information is hidden. Phone numbers, service names, and booking notes that show up on hover are not in the printed output.
  • Multi-staff days don't fit. If you have 4+ staff members, the calendar uses horizontal scroll to display them all — print only captures the visible portion.

Step 2 — Pick the right template for your business

BookingPrint Pro ships with 7 templates, each tuned for a specific industry. The right pick saves a lot of secondary tweaking later:

  • Classic — neutral business layout. Works for any business; safe default.
  • Modern — denser typography, more bookings per page. Good when you need a busy day on a single sheet.
  • Minimal — black-and-white, no decoration. Print-cost-conscious.
  • Corporate — for B2B service businesses (consultancies, professional offices).
  • Medical — privacy-friendly column ordering, patient-first-name only by default.

Step 3 — Generate your first PDF schedule

Open BookingPrint Pro from your Wix dashboard. The left panel is the schedule preview, the right is your control panel:

  1. Pick a Schedule Type: Daily (default), Weekly, or Monthly. Daily is what every front-desk team prints every morning.
  2. Pick a Date. Today is selected by default. Click the date to pick a different one.
  3. Optionally select a Template from the dropdown.
  4. Click Generate PDF. The file downloads in 2-3 seconds.

Open the PDF — that's your printable schedule. It includes client names, services, durations, start times, contact info (toggleable), and a clean header with your business name. If you upgraded to Business, the attendance column is there for the front desk to tick off arrivals.

Step 4 — Filter by staff and booking status (optional)

For larger teams, printing one staff member's day is more useful than the whole shop's. Use the filters in the right panel:

  • Staff Members: pick one or several. The filter remembers your last selection — handy when the same person prints their own day every morning.
  • Booking Status: hide cancelled appointments to keep the printout uncluttered. Many salons hide "pending" too if their workflow auto-confirms.
  • Locations: multi-location businesses can print one location at a time (Business plan).

The filters are remembered across sessions. Set them once on Monday morning, the rest of the week generates the same view automatically.

Step 5 — Set up the daily printing workflow

Manually clicking "Generate PDF" every morning works for week one. Then you'll want to automate it. Two options:

Most salons go straight to option 1 — once you've configured the auto-email, you never think about printing again. The schedule is already in everyone's inbox by the time the first appointment walks in.

Common pitfalls and how to avoid them

"The PDF doesn't show client phone numbers."

Open Settings → Display Options and toggle Show client phone. By default it's on, but some templates (Medical) hide it for privacy. Same for client email and booking notes.

"My schedule doesn't sync — I just made an appointment in Wix Bookings and it's not in the PDF."

BookingPrint Pro reads from Wix Bookings on demand — there's no sync delay. If the appointment isn't in the PDF, it's not in Wix Bookings either. Check directly in your Wix Bookings calendar that the appointment was saved.

"The colours don't match my brand."

Open Settings → Branding and set your primary and secondary colours (Professional plan and above). The PDF uses them on headers, dividers, and the optional attendance column.

"I want to add my logo."

Same place — Settings → Branding → Upload logo. JPG/PNG/GIF up to 2MB. The logo replaces the default header on every PDF (Professional plan and above).

"The 5-day trial ends — what changes?"
